1. Acceptance Required Prior to Booking
These Terms & Conditions and this Refund Policy (collectively, the “Terms”) are presented to every client prior to the confirmation of any reservation, and acceptance is a mandatory condition of service. No reservation is created, confirmed, or charged until the client has reviewed and agreed to the Terms.
This acceptance requirement applies to all booking channels without exception, including:
- Online bookings placed through lux4rides.com or any official Lux4Rides booking link, where acceptance is captured electronically (checkbox, signature, or click-through agreement) and time-stamped at the moment of payment authorization.
- Pre-arranged or assisted bookings placed through a Lux4Rides reservations specialist by phone, email, text, or concierge channel, where the Terms are delivered in writing (link or attachment) prior to charge authorization, and the client’s confirmation — whether by replied written confirmation, recorded verbal authorization, or signed authorization form — constitutes acceptance.
By accepting the Terms, the client acknowledges that they have had a meaningful opportunity to review the policy in full, understand the cancellation and refund restrictions, and agree to be bound by them as a condition of receiving service.
2. 48-Hour No-Refund Window
This applies regardless of the reason — including personal circumstances, travel changes, third-party delays, weather, or change of mind — and regardless of service type. Once the 48-hour window begins, the reservation is considered final and the full charge is retained.
3. Car En-Route or Arrived — No Refunds Under Any Circumstance
This rule applies to every vehicle class in the Lux4Rides fleet, without exception, including:
- Sedans
- SUVs
- Sprinter vans
- Party buses
- Limousines
- Any other vehicle type or size dispatched on the reservation
Once a chauffeur is dispatched, the vehicle, driver, and time block are fully committed to your reservation. The full charge is retained regardless of:
- Cancellation after dispatch
- Customer no-show at pickup
- Refusal to board the vehicle on arrival
- Change of plans, route, schedule, or destination
- Any third-party reason (flight changes, host changes, weather, traffic, etc.)
This clause is final, non-negotiable, and is enforced automatically once the dispatch event is logged.
4. Hourly & High-Value Bookings
This section applies to any reservation that meets either of the following:
- A booking duration of 3 hours or more, or
- A total charge of $250 or more.
Cancellation Notice
Cancellations or material modifications must be submitted at least 14 days before the scheduled service date to be eligible for any consideration.
If Cancelled With 14+ Days Notice
- No monetary refund will be issued.
- A future-use credit may be issued at Lux4Rides’ discretion.
- Credits are non-transferable, non-cash redeemable, and must be used within the validity period stated at the time of issuance.
If Cancelled With Less Than 14 Days Notice
- No refund.
- No credit.
- The full charge is retained.
5. High-Demand Events — All Sales Final
For reservations associated with high-demand events, all sales are final at the time of booking, regardless of when the cancellation is requested. This includes (without limitation):
- FIFA World Cup
- Coachella (Weekend 1 & Weekend 2)
- Stagecoach Festival
- The Oscars (Academy Awards)
- The Grammys
- Other major events flagged as high-demand at the time of booking
These bookings require dedicated vehicle holds, premium routing, and chauffeur commitments well in advance. The high-demand event rule overrides all other refund and credit terms.
6. Airport & Point-to-Point Transfers
For straightforward A-to-B transfers (for example, LAX airport pickups and drop-offs), the following applies outside the 48-hour no-refund window:
- Up to 90% of the fare may be refunded.
- A 5%–10% administrative and processing fee is retained.
- At Lux4Rides’ discretion, the retained amount may be converted into a future-use credit.
7. Payment Processing & Fees
Lux4Rides processes payments through Helcim. By submitting payment, you agree that:
- Payment processor fees are non-reversible and are excluded from any refund issued.
- Lux4Rides is not liable for fees or charges assessed by the processor, your bank, or your card issuer.
- Where a refund is approved under this policy, the refund amount reflects the eligible portion only and excludes processor fees.
8. Customer Authorization & Acknowledgment
By completing a reservation and submitting payment, you confirm and agree that:
- You are an authorized user of the payment method submitted, and the transaction is not fraudulent.
- You have been presented with this Refund Policy and the Terms & Conditions prior to booking, have read and understood them, and accept them in full as a condition of service.
- Service preparation — including vehicle assignment, chauffeur scheduling, and route planning — begins immediately upon booking.
- Once the vehicle is dispatched or has arrived at your pickup location, the booking is fully committed and no refund of any kind will be issued, regardless of vehicle type (sedan, SUV, Sprinter, party bus, limousine, or any other class).
- You will direct any billing question, cancellation request, or refund inquiry to billings@lux4rides.com and obtain a written final determination under Section 9 before initiating any payment dispute, chargeback, or reversal.
- You waive the right to dispute charges that are consistent with the terms set out in this policy, and you acknowledge that a chargeback initiated in violation of these Terms may be classified as first-party misuse under applicable card network rules and may be subject to recovery of fees and costs as set out in Section 10.
9. Refund & Credit Eligibility — Tiered Review
All refund and credit requests must be submitted in writing to billings@lux4rides.com with the reservation confirmation number, the name on the booking, the date and time of service, and the reason for the request. Eligibility is determined strictly under the tiered framework below.
9.1 — More Than 48 Hours Notice
Standard Bookings (under $250 total fare):
- Eligible for refund consideration when written notice is received more than 48 hours before the scheduled reservation start time.
- Refund amount is determined under the rules in Sections 4 and 6 (e.g., transfer-fee retention).
- Refunds are processed back to the original payment method, less non-reversible processor fees.
High-Value Bookings ($250 and above):
- Bookings of $250 or more are not eligible for automatic refund.
- Each request is subject to individual case-by-case review by the Lux4Rides billing team based on advance-notice timing, vehicle assignment, route commitments, and operational costs already incurred.
- Where review is favorable, resolution is typically issued as a future-use credit rather than a monetary refund. Monetary refunds, if approved, are issued at Lux4Rides’ sole discretion and exclude processor fees.
9.2 — 48 Hours or Less Notice (Including Day of Service)
This rule is absolute and applies to every reservation in every vehicle class (sedan, SUV, Sprinter, party bus, limousine, or any other class). The full charge is retained as liquidated damages for committed vehicle, chauffeur, and time-block capacity that cannot be re-sold within the cancellation window.
9.3 — Decisions Are Final
All eligibility determinations under this Section 9 are made in accordance with this policy and are final. Lux4Rides will provide a written response to every request via email of record, including the reasoning under the applicable tier.
10. Chargebacks, Disputes & Card Network Rules
Lux4Rides services are time-sensitive, capacity-reserved transportation services. Each accepted reservation commits a specific vehicle, chauffeur, and time block that cannot be re-sold once the cancellation window has closed. For this reason, the cancellation and refund terms set out in this policy are an essential, bargained-for element of the service contract.
10.1 — Mandatory Pre-Dispute Resolution
As a condition of these Terms, the client agrees to contact Lux4Rides directly at billings@lux4rides.com and obtain a written final decision under Section 9 before initiating any payment dispute, chargeback, or reversal with their bank, card issuer, or payment network. Disputes filed without first exhausting this written resolution process are filed in violation of these Terms.
10.2 — Improper Chargebacks & First-Party Misuse
Pursuant to applicable card network operating rules — including, without limitation, the Visa Core Rules, Mastercard Chargeback Guide, American Express Merchant Operating Regulations, and Discover Network Operating Regulations — a chargeback initiated against a transaction that the cardholder authorized, received notice of, and consented to under a clearly disclosed merchant policy may be classified by the card networks as “first-party misuse” (also commonly referred to as “friendly fraud”) and is not a valid basis for a chargeback.
Lux4Rides maintains a complete evidence record for every reservation, including but not limited to: the time-stamped acceptance of these Terms, the IP address and device fingerprint at the moment of acceptance, the booking confirmation, written communications, dispatch and arrival logs, chauffeur GPS records, and the payment authorization receipt. This record is submitted to the card network as compelling evidence in defense of any improperly initiated dispute.
10.3 — Recovery of Costs
Where a client initiates a chargeback in violation of these Terms, the client agrees to be responsible for, and Lux4Rides reserves the right to seek recovery of, the following:
- The full original transaction amount;
- All chargeback fees, retrieval fees, representment fees, and administrative fees assessed by the acquirer, processor, or card network;
- Reasonable collection costs;
- Reasonable attorneys’ fees and court costs incurred in connection with defending the dispute or recovering the amounts owed.
Improperly initiated disputes may also be referred to a collection agency, reported to consumer-credit databases where permitted by law, and pursued in a court of competent jurisdiction. Repeated or pattern-based misuse may additionally be reported to the card network’s fraud-monitoring program.
10.4 — Fraud, Identity & Authorization
Genuine fraud claims — meaning a charge made by a person who was not authorized to use the payment method and did not receive any service — are not subject to this section and should be reported to both Lux4Rides and the card issuer immediately. This section applies to authorized, terms-compliant transactions only and is intended to address the misuse of the dispute process to obtain a refund outside of the agreed cancellation terms.
10.5 — Governing Law & Venue
These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws principles. The exclusive venue for any action arising out of or relating to these Terms shall be the state or federal courts located in Los Angeles County, California, and the client consents to personal jurisdiction in those courts.
