Event transportation management, answered
What does "transportation management" include?
Everything between your guest list and the curb. We build the run sheet from your manifest, assign vehicles and chauffeurs to each pickup, set holding positions near the venue, track inbound flights, and give you one dispatcher who runs the day and takes every change. You receive one proposal, one contact and one invoice.
How many vehicles can you run for one event?
From one Escalade for a keynote speaker to a fleet of sedans, SUVs and Mercedes-Benz Sprinters moving several hundred guests in waves. Larger programmes draw on our own vehicles and vetted partner operators, all under our dispatch and our chauffeur standard. Tell us the headcount and the schedule and the proposal states exactly what will be on site.
Can you handle guests arriving at LAX, Burbank and Long Beach on different flights?
Yes. Each guest gets a flight-tracked pickup timed to the actual landing, with 30 minutes of complimentary waiting after a domestic landing and 60 minutes after an international one. Inside-terminal meet & greet with a name sign is $60 per booking. Arrivals are grouped where it makes sense and kept separate where it does not.
Do you provide someone on site during the event?
A dispatcher is assigned to your event and reachable by one number for the whole programme. For large arrivals and departures we can also position a transportation lead at the venue to marshal vehicles and guests; say so in the brief and it is priced into the proposal.
How is event transportation priced?
Single rides book instantly online at the published fare. Hourly chauffeur service starts at $80 per hour for the Comfort Sedan, $120 for the Luxury SUV, $130 for the Cadillac Escalade and $175 for the Sprinter, with a 4-hour minimum online. Multi-vehicle, multi-day and standby programmes are quoted individually from the schedule, the vehicles and the scope of the work. We do not promise discounts; we prepare a proposal that reflects what the event actually needs.
Can you provide a certificate of insurance and sign our vendor paperwork?
Yes. Lux4Rides operates under California TCP #40987 with commercial insurance in force. A certificate of insurance naming your venue or company is available on request, and we work through standard vendor onboarding, purchase orders and confidentiality agreements.
What happens when the schedule changes on the day?
It goes through your dispatcher, not through ten drivers. A speaker runs late, the dinner moves, a guest adds a hotel: one message and the run sheet is updated and every chauffeur is re-tasked. Time beyond the booked hours is billed at the same hourly rate, stated in the proposal.
How far ahead should we book?
For a programme with several vehicles, two to four weeks lets us hold the right fleet and chauffeurs, and more for award season, Coachella weekends and major conventions. For something within days, call (424) 209-8001 and dispatch will tell you what can be done.
